Leads - Lead Past-Date Warning

Use the Past-Date Warning to catch mistakes when creating or confirming events in the past. The system alerts you during save or autosave if the event date is older than your configured threshold.


Prerequisites

- Permissions:
- Edit Settings -> General Preferences
- Edit Leads/Events
- Autosave: Works with or without Autosave enabled. Behavior is slightly different during autosave (see below).


Setup: Enable and Configure the Warning

1) Open Settings -> General Preferences.
2) Find the Past-Date Warning setting for Leads/Events.
3) Enter your threshold:
- -1 = Disabled (no warning).
- 0 = Warn for any past date/time (default behavior).
- 1–365 = Warn only if the event start is more than this many days in the past.
4) Save & Close.


Use the Warning While Editing Leads

On Save:

- If the lead’s event date is past the threshold, a modal warns you and shows how far past it is.
- Choose Confirm to proceed or Cancel to go back and fix the date.

With Autosave enabled:

- The warning shows once on the first autosave of the session when the date exceeds the threshold.
- After you Confirm, subsequent autosaves won’t show the warning again unless you reload the page or change the date.
- If you Cancel the warning, it will continue to appear on subsequent autosaves until you Confirm or fix the date.


Feature Options & Parameters

- Applies on:
- Manual Save
- Autosave (first autosave per session unless dismissed by Confirm)
- Status behavior: Designed to help when moving leads into high-impact statuses (e.g., Contracted/Confirmed) with past dates, but will warn on save based on date threshold regardless of status.


Use Cases

- Prevent “Save as Copy” mistakes: Copy last year’s event and get warned if you forgot to roll the year forward.
- Intentional backdating: Temporarily set a high threshold (or -1) if you are importing historical leads and do not want warnings.


Troubleshooting & FAQs

Q: I’m not seeing the warning.
A: Check the threshold value in General Preferences:
    - 0 warns for any past date.
    - -1 disables the warning entirely.
    - 1–365 only warns when the date is more than N days past.
Q: The warning keeps popping up during autosave.
A: Click Confirm once to suppress it for the rest of the session, or fix the event date. Reloading the page resets this.

Q: Does the warning block saving?
A: It requires you to Confirm to proceed. Use Cancel to go back and correct the event date.

Q: We confirmed a lead that’s far in the past and missed it on the schedule. Will this help?
A: Yes. Set an appropriate threshold (e.g., 30–90 days) so you’re prompted to double-check before confirming events in the past.
