Email or Text Attachments Directly to a Lead

Send files to attach@inflatableoffice.com to add them directly to a lead. The system can identify the lead from the lead ID in the message subject or from the worker’s current assigned shift. 


Prerequisites

  • A valid lead in the software.
  • The lead ID for direct routing.
  • A file supported by lead attachments. The maximum file size is 25MB, although email providers and mobile carriers may have lower limits.
  • For shift-based routing, the sender’s email address or phone number must match their worker profile, and the worker must be scheduled for a shift associated with the lead.
  • For text messages, the device must support MMS attachments and message subjects.

Send an Attachment Using a Lead ID

  1. Open the lead
    Go to Events -> Leads/Events, open the appropriate lead, and note its lead ID.
  2. Create a message
    Start a new email or MMS text message addressed to attach@inflatableoffice.com.
  3. Enter the lead ID
    Place the lead ID in the message subject.
  4. Attach the file
    Add the image, document, or other supported file to the message.
  5. Send the message
    Send the email or text. Allow a few moments for the attachment to process.
  6. Confirm the attachment
    Open the lead and select Attachments from the left-side toolbar. Confirm that the file appears in the attachment list.

Send an Attachment Using an Assigned Shift

If a lead ID is not supplied, the system can use the sender’s current shift to determine the appropriate lead.

  1. Confirm that the worker is scheduled for a shift associated with the lead.
  2. Verify that the email address or phone number used to send the message matches the worker’s profile.
  3. Create an email or MMS text message addressed to attach@inflatableoffice.com.
  4. Attach the file and send the message while the worker is assigned to the applicable shift.
  5. Open the lead’s Attachments section and confirm that the file was added.

Recommended: Include the lead ID in the subject whenever possible to prevent the attachment from being routed to the wrong lead.

  • Lead ID routing – Uses the lead ID entered in the message subject to select the destination lead.
  • Shift-based routing – Uses the sender’s worker profile and current assigned shift to identify the lead.
  • Email submission – Sends one or more attached files through email.
  • Text submission – Sends files through an MMS-capable messaging app.
  • Processing time – Attachments may take a few moments to appear on the lead.
  • Maximum file size – Lead attachments support files up to 25MB each. MMS carrier limits are typically lower.

  • Field documentation – Workers can send setup, layout, or damage photos directly to the related lead.
  • Customer documents – Add parking passes, site maps, permits, or completed field paperwork without opening the lead editor.

Troubleshooting & FAQs

  • The attachment is not appearing on the lead.
    Allow a few moments for processing. Confirm that the file was attached to the message and that the correct lead ID was entered in the subject.

  • My text messaging app does not show a subject field.
    Enable the MMS subject option in the messaging app or send the attachment by email instead.

  • Shift-based routing did not find the lead.
    Verify that the sender’s email address or phone number matches their worker profile and that they are scheduled for a shift associated with the lead. Resend the file with the lead ID in the subject.

  • The attachment was added to the wrong lead.
    Review the worker’s scheduled shifts. When more than one shift may apply, resend the attachment with the intended lead ID in the subject.

  • The file is too large to send by text.
    Compress the file, send files individually, or use email. Mobile carriers enforce MMS limits that may be much lower than the 25MB lead attachment limit.

  • Where can I view the uploaded file?
    Open the lead and select Attachments from the left-side toolbar.
