Using AI Agent Tools

AI Agent Tools let you use the Help chat to ask software questions and complete common setup tasks. You can ask the AI to create filters, generate reports, update templates, draft messages, and help generate website content.

Prerequisites

  • You must be logged into your InflatableOffice account.
  • You need access to the Help chat from inside the software.
  • You need permission to edit the item you want changed, such as filters, reports, templates, website content, or messaging.
  • Before asking for changes, know the name of the item you want created or updated.
  • The "AI Agent" must be enabled
    Navigate to Settings (cogwheel icon) > AI Tools or visit this link.
    Set Enable AI Agent to Yes. You may then individually enable any of the following permissions as needed:
    • Allow Filter Creation: To create and save filters.
    • Allow Report Creation: To create lead reports.
    • Allow Contract Template Management: To manage document templates.
    • Allow Email Template Management: To manage email templates.
    • Allow Quote Page Template Management: To manage quote page templates.

How to Use AI Agent Tools

  1. Open Help.
    When logged in, click the question mark at the top of the software to open Help.
  2. Start a chat with the AI assistant.
    Use the chat to ask a question or describe the task you want completed.
  3. Describe the request clearly.
    Include the exact item you want created or changed. Examples:
    • Create a filter for confirmed events with a balance due.
    • Build a report showing customer name, event date, balance due, and status.
    • Update my quote template to mention delivery windows.
    • Edit the contract page to change the payment wording.
    • Generate a product description for this item.
    • Draft a text reply for a customer asking about availability.
  4. Answer any clarifying questions.
    If details are missing, the AI may ask follow-up questions before making the change.
  5. Review the result.
    Check the created or updated filter, report, template, message draft, or description to confirm it matches what you wanted.
  6. Test before using it live.
    For reports, filters, and templates, run a quick test to confirm the output is correct before relying on it.

Smarter Search Helps find settings, features, and help content without exact keywords. Search using plain language instead of exact menu names.

  • Create a filter: Describe which records you want to see and the conditions they should match.
  • Generate a report: List the columns you want included and what records should be shown.
  • Update templates: Specify which template or page should be changed and provide the new wording.
  • Generate website descriptions: Ask for a product or category description based on the item details.
  • Draft customer messages: Ask for a reply to a booking, scheduling, or support message.

Q: The AI did not make the right change.
A: Ask again with more specific instructions. Include the exact filter, report, page, or template name and describe the change in plain language.

Q: Why is the AI asking follow-up questions?
A: Some tasks need more detail before they can be completed. Reply to the clarification so the correct item can be created or updated.

Q: I asked for a filter or report, but the output is not what I expected.
A: Review the conditions or columns requested and ask the AI to revise them. It is best to test the result before using it in your workflow.

Q: Can I use images in the chat?
A: Yes. You can upload an image or screenshot and ask the AI a question about it.

Q: I cannot find the Help chat.
A: Click the question mark at the top of the software when logged in. If needed, use the Help Page for additional support options.

Q: Can the AI edit all templates and documents?
A: It can help with supported items such as email templates, quote pages, quote confirmations, contract pages, and contract templates. Be specific about what should be updated.

Q: Should I review AI-generated content before publishing or sending it?
A: Yes. Review filters, reports, wording changes, and message drafts before using them live.
