Disaster Planning

As a business owner you have to prepare for any possible outcome that could negatively impact your business.  As part of that process you need to know how we prepare to keep your business running smoothly as well as what you can do in the unlikely event that our service is unavailable or you are unable to connect to the internet.  

Disaster Planning by Your Rental Software

We have a number of procedures in place to prevent any major issues with your data and ability to reach our rental software service.

  • We run a redundant server system, meaning we pay and maintain twice the servers we need to serve our users.  One set of servers is simply kept up to date in case the current primary servers are having issues.  Our system immediately switches over to the secondary servers if we detect and issues, without you even knowing in most cases.  This is why we have hardly any reported down time.
  • We keep our servers in different areas of the country to make sure if there is an issue in one area of the country, our servers in the other area can take over. 
  • We have multiple backups of our code and databases on different devices and in different areas of the country.  We also have historical backups in case a restore is needed.  
  • We are our own name server authority with some of the popular services as backups.  Certain DDOS attacks in the past have crippled the internet due to popular name server companies being unreachable and causing many large internet services to appear down and unreachable (like Netflix and YouTube).  When this happened we decided to become our own authority to prevent instances like this in the future.  

Disaster Planning You Should Do

Regardless of all we do to prevent issues with your rental software service, you can still have issues connecting due to your device or internet service.  Consequently, you should make plans to be able to access all your data at anytime without being able to access your rental software.  Below are a few options that you could employ to do this.

  • Automatic Emails - This is our number one preference to deal with this issue since it will likely be accessible on a number of your company's devices and even if the internet is not available.  We have an automatic email that you can turn on that contains all of the information you should need about each upcoming event.  You can customize it to your liking as well.  You can also set how many days before the event it will mail out to you.  The purpose of this is to have a copy of important event data in your email and on your email server as a backup.  This email is set to send to your company email as it will be an email account that will often be checked, so it will be downloaded to multiple of your devices.  We recommend setting up some mail filters that key on the beginning of the subject of this email and place it in a folder that you don't check often.  You don't want it clogging your inbox. You just need to be able to access it when needed.  You can also setup your own auto email for this via Automations. 
  • Google Calendar - You can setup an additional Google Calendar sync that is explicitly for backup of data.  You can build a template to your liking.  We recommend creating an additional Google Calendar for this inside your Google account so you can have it hidden until you need it.  
  • Zapier Automations - Because we integrate with Zapier, you can use that service to move data from your rental software to any other Zapier integrated app.  This is likely more difficult to setup, but it will also provide you the most flexibility.
