Leads no longer moving to custom status after event date passes?

Need Answer

As of about 5/23/26 my Confirmed leads no longer automatically progress to my custom "Awaiting Finalization" status. I'm not sure what changed, but I looked at the settings and I see the option to move to complete status after event date passes, but I don't see anywhere to define which status is "the complete status" to be moved to after the event date passes.

I want it to automatically go from complete > awaiting finalization and then I'll manually move to complete.

Could you send us lead #'s of leads that didn't move that you would have expected to

I think everything since 5/23. Here are several of them:

65849419, 63305825, 63308043, 63299439 (left this one as-is so you can see it hasn't changed), 64740251, 65857013, etc...

It looks like back on 05/22 you did make adjustments to your statuses. I see both your Awaiting Finalization and your Complete statuses are set to your "Complete" status. I think you would need to have just one (awaiting finalization?) status to be this. Then once you are ready to move it to Complete you can

I did add the "Weather Threatened" status on 5/22 but didn't change anything with the Complete or the Awaiting Finalization statuses.

Thanks for finding that -- what implications are there to having my leads that have been completed in a status that isn't marked as a "complete" status? I don't want to mess things up for automations, etc.

What exactly is the Weather Threatened status? Because it also shows as a confirmed event as well....right now you have duplicates of multiple statuses and it is going to cause issues in the long run. Is Weather Threatened also a manual status? Which status is considered "complete"? Awaiting Finalization or Complete?

Perhaps I'm adapting the status feature in a way that's unintended when developed.

The weather threatened status is for leads that were confirmed but are now requiring changes and/or confirmation due to weather (ie. wind, rain, etc.). It's not technically a manual status because I have an automation that kicks it to Weather Threatened if it meets my filter for wind being forecasted as too high. The event is technically confirmed still, though perhaps it'd be equally accurate to have it be more like a contracted status?

Awaiting finalization is where the system puts an event that's ended and just needs human verification to make sure all payments are collected/logged, items picked up, maintenance logged, etc. The event is over, but we're not quite done with it. Then Complete is for when we've finished everything and are ready to send it to the archives.

I hadn't read anywhere that I shouldn't have duplicates of status types, so I didn't think it'd be an issue. I figured the system would just use the left-to-right (or top-to-bottom) progression of statuses, which it seemed to be doing just fine until recently.

Yes...maybe for Weather Threatened we don't make it a true confirmed status but we make it a reserved status, like a contracted status. What happens after it's in this status?

We can have the status move to Awaiting Finalization automatically after the end of the event and then once everything finalized you manually move to Complete?

After being in Weather Threatened it either becomes Cancelled or Confirmed once the weather threat either becomes imminent, subsides, or is mitigated by changing the rented equipment.

Is that something you're taking care of behind the scenes, or do I need to do something to enact that?

While the lead is in the Weather Threatened status...should items still be reserved? Or is this more of a "raincheck" status...you know the event is going to happen but not 100% when so good chance the date will change? Do you normally move the status manually from the status? Do you end up changing the date?

Yes, they should be reserved. It is a "conditional confirmed" status where the event will go forward as planned if the wind calms down, but there's no guarantee the wind will calm down of course. I always manually change the status either to Confirmed again (if the wind does die down, or if the inflatable is removed from the reservation but chairs/tables remain, etc.) or to a Cancelled status if the event is cancelled.

I do not change the date unless the client chooses to reschedule, at which point I cancel the original, issue a credit for any amount paid, copy the lead to the new date, and apply the credit. (If I just change the date then the "once per lead" condition won't work any more, so I have to cancel and copy.)
