Leads we did not close

I am looking to setup some automations around leads that we did not close. Here is what I am thinking and then looking for best practices and ways to make this happen .

  • Leads event date is passed
  • Email goes out to the customer thanking them for the chance to help them etc.
  • Status is changed from quote to Did not close
  • Email is sent to myself with customer name, items, date and totals


I would also like to setup a email or CRM task assignment to send a reminder to myself and the sales person listed at the 30/60/90 day mark prior to the event date to see what we can do to close the sale.

Looking forward to seeing thoughts and yes we do have the CRM, not sure we are using it to its capacity.

We have several triggers to send leads to our "Lost" status. One is simply a lead tag that says lost. We have optional fields that have a select field, our team can use to select the generic reason why we lost it, and a text area field for more details if needed. We also have an automation to move leads there that are in certain statuses and past the event date. If we create mutliple leads the reps put "duplicate" in the lead tag so when it goes to lost it doesn't fire automations that don't apply bc they actually booked a different lead. Does that make sense...I hope. Before putting a lead in the lost status before the event date, we have a dashboard that shows leads who are not responding to emails or text. After so long with out contact, they are assigned a task to decide if it needs to be moved to lost.
