set up windows on leads

my set up and tear down windows on leads are not reflecting what they actually are according to the delivery planner. This is making it much more difficult to send out my notifications as the times feeding into the text are not correct or even close to actual delivery times. This has just appeared to happen. what can I do to fix this? thanks
