How to Stop Overbooking

How Do I stop my reservation people from booking more then I have available?

If I have 300 chairs available, they can add 350 to the order and then it just says conflict in the dashboard and puts a Red -50 next to the item in the lead.

I do not want them to be able to book more then we own of anything.

That is your warning it's not allowing them to book and because of the overbooking on the quantity it will not allow them to make a payment deposit sign a contract click book now it won't allow any of that to happen


It gives you the warning then you can make the decision if you want to allow the event to go through or not by doing an override and potentially subcontracting the items or something like that

Under General Preferences you can switch from allow to error when there is a conflict. It won't allow them to save a lead if there are conflicts on the lead

Susan I agree with doing it that way also but we found it better to allow the customer to attempt to book what they wanted and then get the email alert that there's a quote with an issue and then we could talk to the customer and instead of losing them convince them to take a different item or something like that so we still try to keep the customer help them as opposed to this them going and calling and telling us or something wrong


It's just another one of those things where you have to decide what's best for your company but fortunately inflatable office gives us options

This is not a customer booking online. This is a reservation specialist working in the backend.

I changed that permission about 2 hours ago. Just logged into a standard user. created an order, added 350 chairs of which we only own 300. Added customer data, and went right through. There was no warning, no stopping it, now, if it was a legitimate order, we would be overbooked by 50 chairs with no solution

If I don't own it, I do not want them to be able to even add it. If I have 58 chairs left and they try to add 60, it should stop them and say "overbooking not allowed"

This is a huge problem for me.

Are you logged in as the admin or as a user?

I set the permissions in admin. I went to a workers computer, logged her out, restarted her computer, logged in under her limited profile and created the order.


I booked 300 chairs when I only own 266 of that style.


Saved it to an existing lead. Emailed it to myself.

With that setting. They can input the number but then they try to save it, it will not allow. And won't allow the contract to be seen. But I'm with you, is like it to revert to the quantity on hand instead of not allowing the booking

Right now, our interface is allowing them to save and send. I am about to be in a mess!

We've just been testing out this setting and it's allowing us to save the lead even when we change it to "error not allow" we have a developer taking a look right now

Thank you for looking into this.

I really do not c as re what status the lead is in. They should not be able to save or email anything with a -x quantity.


I can see it maybe for a quick verbal quote without needing date and all but it should never let them print or email for the customer.


We always ask the event date before quoting anything thus if it is not available it is not available


I wish it would just atop at zero and not allow any additional quantities.
